Menaela vs SimplePractice
Choose SimplePractice when US behavioral-health insurance billing, telehealth and a mature EHR are non-negotiable. Choose Menaela when your central problem is who handles patient messages, follow-up conversations and clinic administration—not simply which EHR screen to open. Menaela does not yet replace US insurance claims processing or answer external phone calls.
Choose Menaela when
You want an AI secretary that operates the schedule, patient communications and staff workflows in one practice system.
Choose SimplePractice when
You need established insurance-claims, telehealth and behavioral-health workflows; AI assistance with clinical documentation is valuable.
SimplePractice includes genuine clinical AI in Care Aide. That is different from claiming it has no AI. The relevant buying question is whether the AI handles the receptionist’s ongoing job.
What changes in daily work?

| Clinical documentation | Appointment-linked AI Scribe with clinician review | Care Aide and Note Taker offer substantive clinical AI | SimplePractice Care Aide FAQ ↗ |
| Insurance billing | US insurance claims/RCM are not current core functionality | Documented insurance billing with per-claim pricing | SimplePractice insurance pricing update ↗ |
| Starting subscription | Menaela public offer: $399/month; confirm applicable plan | Starter $49, Essential $79, Plus $99/month; AI features may add costs | SimplePractice pricing and plans ↗ |
What the feature table does not tell you
- For a self-pay clinic, the relevant cost is not just PMS subscription price. Include the administrative time or paid reception service required to handle incoming questions and changes.
- For an insurance-dependent US behavioral-health practice, mature claims infrastructure may outweigh receptionist autonomy. We would not recommend replacing those workflows merely for AI.
The operational test
Ask each vendor to demonstrate the same real situation: a patient requests a time, changes the provider, books, then returns to the conversation days later to reschedule. Ask whether the system itself completes each step, whether staff must intervene, which channels are supported and what happens on failure. This is a recommended evaluation scenario, not a claim that we independently tested the competitor.
Where Menaela is not the better fit
For clinics dependent on established US payer contracts, claims processing or patient phone answering, Menaela is not currently a like-for-like replacement. Evaluate the competitor’s relevant mature workflows first.
