Introduction to Menaela
Menaela is an AI-first practice management system. The assistant is an interface to clinic operations, not a separate chatbot sitting next to the system.
What Menaela is
Menaela combines the operational system of a small clinic — patients, appointments, providers, services, leads and clinic settings — with an assistant that can work through those same records and workflows.
You can still use the normal screens. The difference is that many everyday tasks can also start as a request: find a slot, check what is known about a patient, summarize a lead, explain a configured clinic policy or prepare a draft note.
The model is not the database and it is not the source of truth. It receives relevant context and uses explicit product capabilities to retrieve or change data.

The main areas of the product
- Schedule — view availability and appointments by day, week, provider and service.
- Communications — keep patient conversations in one operational context.
- Leads — receive and review new enquiries from connected sources.
- Patients — keep the patient record, appointments, conversations and attached files together.
- Settings — configure clinic facts, providers, services, payers, pricing, instructions and integrations.
- Chat and Voice — ask Menaela to retrieve information or help complete supported clinic work.
- AI Scribe — turn a recorded consultation into a transcript and draft clinical note for review.
What Menaela uses before it answers or acts
A useful answer is not based on the current sentence alone. Menaela works through several layers of context and control.
- Platform safety rules define actions and answers the assistant is never allowed to improvise around.
- Configured clinic data provides the current facts about the clinic, providers, services, pricing and payers.
- Clinic instructions describe how this particular clinic wants Menaela to communicate and behave inside the allowed boundaries.
- Patient and appointment context provides the relevant history for the current person and workflow.
- The current conversation or staff request tells Menaela what needs to happen now.
If a required fact is missing or an action is outside the assistant’s authority, Menaela should clarify or escalate instead of filling the gap with a plausible answer.
Where to start
For a new clinic, do not begin by entering every possible setting. Establish the basic operating context first and then add detail where the workflow actually needs it.
- Confirm the clinic’s default language, timezone and currency.
- Use the onboarding flow and, where available, let Menaela read the public clinic website.
- Review the clinic profile, providers and services it proposes.
- Add prices, payers and booking details that are important to real patient conversations.
- Connect lead and communication channels.
- Test the common patient and staff workflows before relying on automation.
