Users and roles

A user is someone who can access Menaela. A provider is someone who delivers a clinical service. The same person can be both, but the concepts should remain separate.

Users are not the same as providers

A clinic manager may need full operational access without appearing in the booking calendar. A physician may be a bookable provider and also have a user account. Keeping those two concepts separate avoids confusing access rights with scheduling rules.

Permissions matter to the assistant too

Chat and Voice should operate inside the user’s allowed scope. Asking the assistant for something should not become a shortcut around normal permissions.

If your deployment exposes different role names or permission sets, use them according to the clinic’s real responsibilities rather than job titles alone.

Security ruleNatural language should not expand authority.

A user who cannot perform an operation through the product should not gain that operation simply by asking the assistant for it.

Recommended setup

  • Give administrative privileges only to people who maintain clinic configuration.
  • Keep provider scheduling data in provider records, not user descriptions.
  • Remove or disable accounts when staff no longer need access.
  • Use named accounts rather than sharing one staff login across the clinic.
